Outlook agendas in bFO, GDPR and comparison between employees

Outlook agendas visible in bFO?

In bFO, it is possible to access the profile of an employee registered as a “contact” and see certain events from their Outlook calendar, sometimes including appointments marked as private.

The most worrying point: the employees concerned do not necessarily have access to bFO themselves. They may therefore be unaware that their agenda is potentially visible to any user of the tool.

The subject was raised during the ACS RP CSE. Management indicated that teams were working on the topic, but no concrete response has been provided so far.

Displaying an employee’s calendar in a tool accessible to many users is not a trivial matter.

Transparency Employees must be informed about how their personal data is processed.
Legal basis Any processing must rely on an identified and valid legal basis.
DPO CFE-CGC questions whether the internal Data Protection Office was consulted.
Correction A concrete response and rapid correction are expected.

GDPR is clear: personal data must be processed transparently, on an identified legal basis, and the people concerned must be informed.

This topic cannot remain unanswered.

Comparison between sales employees

Management recalled that comparing individuals is prohibited when it concerns revenue. A manager may, however, discuss the subject individually.

Benchmarking may be used when comparing performance at team, entity, region or BU level, for example to monitor pipeline, number of visits or marketing actions.

Collective display: showing this type of result collectively can create stress and a feeling of being downgraded.

Psychosocial risks: employees identified as the least “performing” may be affected.

Manager awareness: CFE-CGC asks Management to alert the managers concerned again.

Our request

CFE-CGC does not necessarily see an intention to stigmatise employees.

Nevertheless, tools must not allow access to individual results when this is not appropriate.
